Auto‑reimbursement of Personal Expenses

Give your teams a faster way to settle personal expenses: when enabled per card, Pliant will automatically charge the cardholder’s private payment card for any transactions that are flagged as Personal Expense. The cardholder does not need to approve each transaction - only the activation of this setting on their Pliant card.


How it works (at a glance)

  1. An Admin,Owner or Team Manager activates Automatic reimbursement of personal expenses is required when creating a card.

  2. The cardholder must:

    • Consent to auto‑charging personal expenses for that card, and

    • Add a valid private payment card to their account.

  3. Until both are complete, the card is put into a Locked state (cannot be used)

  4. When a transaction on that card is marked as Personal Expense, Pliant immediately attempts to charge the cardholder’s private card.

Enable the feature on an existing card

  1. Open the card in Card details (Admin or Cardholder app).

  2. Select SettingsEnable auto-reimbursement.

  3. When ON, the setting is displayed in card details.

What happens if the private card is removed or expires?

  • If a cardholder removes their private card or it expires, all of their Pliant cards with the setting ON move to Locked.

  • When removing a private card, a warning banner explains which active cards will be affected.

  • Proactive email warning: We email the cardholder ahead of private card expiry so they can update it and avoid the Locked state.

  • Transactions attempted with a Locked card are declined.

Frequently asked questions

Can I enable this globally for all cards?

  • Not at this time. The setting is applied per card.

Can users unlock a Locked card manually?

  • No. The card unlocks automatically once consent is provided and a valid private card is on file.

Are all cards of a user locked when they remove their private card?

  • No. Only the ones that have the auto-reimbursement setting active

Does the cardholder have to approve reimbursements for each personal transaction?

  • No. They only need to consent once to enable auto‑charging for that Pliant card.
